Proofreading\u00a0tips and techniques for all writers<\/h2>\n

Editing,\u00a0copy editing\u00a0and proofreading are separate processes in the preparation of a text in the publishing industry.<\/p>\n

The three are used for a newspaper article, online content or a business document. But the processes are more commonly associated with preparing a manuscript for a book.<\/p>\n

After the\u00a0editing services are complete, a\u00a0proofreader checks a text for\u00a0spelling, grammar and\u00a0typographical errors.<\/p>\n

A\u00a0professional proofreader usually uses a set of defined proofreading symbols from\u00a0style guides\u00a0to note errors in\u00a0spelling, punctuation or omissions.<\/p>\n

Here is an example from the Chicago Manual of Style.<\/p>\n

If you plan to use a professional\u00a0proofreading service, you can normally find an estimation of price on the\u00a0proofreader\u2019s website.<\/p>\n

However, you can always discuss and negotiate. Some\u00a0proofreading services\u00a0charge per 1,000 words, while others on an hourly rate.<\/p>\n

You might want to check if references are available.<\/p>\n

You should also ask in what format your document will be returned to you and if you will be able to see all the changes and corrections. Track change in Word is the most obvious way to do this.<\/p>\n

If you are going to pay, make sure the service does not use online proofreader\u00a0software\u00a0or an electronic\u00a0proofreading tool.<\/p>\n

You only want to pay for\u00a0access to experienced professional human proofreaders.<\/p>\n

DIY proofreading<\/h3>\n

You know you have good\u00a0writing skills. But a writer\u2019s brain is often so hard-wired into the creative process that it can easily\u00a0overlook\u00a0even simple\u00a0spelling errors. It is a difficult\u00a0process to\u00a0spot mistakes in your own writing.<\/p>\n

If you are in contact with other writers, why not help each other out? Perhaps you have a friend or family member who can help.<\/p>\n

Finding someone to help you is essential, particularly if you use English as a second language.<\/p>\n

Whether\u00a0you decide to proofread for other people or your own writing, if you follow some of the basic proofreading\u00a0techniques you will achieve much better accuracy.<\/p>\n

How to proofread<\/h3>\n

The very first\u00a0step is to use a grammar and\u00a0spelling checker. Grammarly is by far the most popular online tool for quickly finding and correcting\u00a0spelling, punctuation and grammar mistakes in a document.<\/p>\n

But it is not proofreading.<\/strong> Any online tool is only an aid to find basic\u00a0grammatical errors or as a quick\u00a0spell checker.<\/p>\n

However, by finding and correcting the most obvious errors, it will save you time in the proofreading process.<\/p>\n

Once you have completed an online check, it is time to turn off the screen. You can read on a PC, iPad or Kindle, but it is impossible to proofread on a screen.<\/p>\n

You absolutely need to print out your text.<\/p>\n

A good\u00a0proofreading tip is to adjust your text to double line spacing and even increase the font size a little.<\/p>\n

Now sit down with your text, grab a coffee, and a red pen.<\/p>\n

To start, go to the last page and look at the last word. Then slowly read the text, sentence by sentence, from end to beginning. Why?<\/p>\n

With this technique, it helps you concentrate on each sentence individually, without the handicap of worrying about context or story flow.<\/p>\n

It allows you to focus your attention on orthography,\u00a0word by word, on every single word in each sentence.<\/p>\n

Pay particular attention to\u00a0punctuation marks such as missing question marks and unclosed quotation marks in particular.<\/p>\n

Mark the errors you find, and perhaps use the symbols from the image earlier in the article.<\/p>\n

Now go to the beginning of the text and start\u00a0reading out loud. Maybe you will need to find somewhere quiet and private for this stage.<\/p>\n

When you\u00a0read aloud, your brain can work with two senses instead of one. Using your eyes and your ears together will find more errors that your eyes alone.<\/p>\n

Read each word slowly, and go back and repeat a sentence or passage if you have any doubts. As you do, let your ears listen for things that \u201cjust don\u2019t sound right\u201d.<\/em><\/p>\n

Your eyes will continue to focus on typos, missing and unnecessary commas, a misplaced\u00a0punctuation mark or paragraphing irregularities.<\/p>\n

The most important ingredient is to take it slowly. Never rush the task of\u00a0proofreading.<\/p>\n

When you have finished, go back to your computer and make all the corrections to your document.<\/p>\n

For a short document, once is usually enough.<\/p>\n

But for a long novel, you will need to go through this process at least two or three times.<\/p>\n

It can never be done in a hurry. When you need to do it, make sure you have plenty of time and no distractions. You need to concentrate, so turn off the music and the television.<\/p>\n

If you have to proofread your own writing, always leave it for a day, or even longer before you start.\u00a0You need to disconnect from the writing process before you can begin to be analytical.<\/p>\n

For authors, leaving a finished manuscript for a month or more is very good advice.<\/p>\n

There is no quick and easy way.\u00a0You can use all the online tools you can think of, but they will never replace human reading.<\/p>\n

Electronic tools are very poor at understanding words in context. They will very often miss words that are spelt correctly but are not accurate in meaning or placement.<\/p>\n

The only proofreading tools you can trust to find grammar, spelling, punctuation\u00a0and formatting errors<\/span>\u00a0are human eyes.<\/p>\n
